When I sent a draft report to my colleague, her reply contained only one sentence: "This needs more detail." I had spent most of the morning on it, so the comment felt discouraging. Working from home, I could not see her expression or ask a quick question across the desk. I started adding information to every section, assuming that the whole report was too brief.

After a while, the draft was longer but harder to follow. Before continuing, I asked whether she could identify the part that needed explanation. She replied that the opening summary was clear, but the reason for one recommendation was missing. She had written quickly between meetings and had not intended to criticise the entire report.

We agreed on two questions the missing paragraph should answer. I removed the unnecessary additions and wrote a short explanation in that section. For future drafts, we decided to attach comments to specific passages and describe the reader's question. We also agreed that a brief call could help when several written replies left the meaning unclear.

The original sentence had sounded like a judgement, but a more precise question turned it into an action I could take.
